Pencombe Pool Hire agreement

The Pool Hire Agreement is subject to the Private Hire Contract Terms and Conditions below and is made between Nicola and Jack Hopkins of Pencombe Private Pool (the Pool Operator and Owner) and the Group Leader which is the adult who has made the booking for the private hire agreement and is responsible for the safety and behaviour of their group (or the adult they have delegated these responsibilities to in their absence).

Requirement

I/we have read and understood the pool rules and will comply fully. I/we also understand the pool hire may be terminated on the day if I/we do not fully comply with the pool rules or if the pool is being used by more swimmers than has been paid for or for a purpose which is not permitted or been agreed prior.

I/we understand that I/we are responsible for the behaviour of all persons in connection with the booking whilst they are at the property.

I/we understand that I/we are responsible for ensuring all persons in connection with the booking are fully aware of the Pool Hire Agreement and Terms of Use and Pool Rules.

I/we confirm and understand that as the Hirer of the Pool we will have exclusive use of the Pool and the facilities and will not be sharing the Pool with the general public.

I/we confirm that all Swimmers within the Hire Group must be competent swimmers and be in good health.

I/we understand and confirm that there is to be no lone swimming (there must always be two adults present at all times who are both competent swimmers).

I/we confirm and understand there is to be one adult to two swimming children (defined as confidently able to swim 5m unaided) and one adult to every one non swimming child (unable to swim 5m unaided).

I/we confirm anyone wearing a nappy (or within the last 6 months) will be wearing a well fitted double nappy system

I/we confirm and accept that the fee paid for use of the facility does not include an onsite lifeguard, or firstaider or any other form of supervision and that I am permitted to bring my own and I/we accept and confirm that the pool is used at our (the hirers) own risk.

I/we confirm and understand that the owners and operators of Pencombe Private Pool will not be held liable for any injury, illness, accident or loss or damage to the hirers and their property, however caused, directly or indirectly in or out of the swimming pool.

I/we confirm and understand that there is a no diving and no bombing policy at all times

I/we understand that the Normal Operating Procedures and Emergency Accident Procedure is available at the Pool. We are also aware of what to do in an emergency.

I/we confirm and understand that the Shallow End is 1m in depth and the Deep End is 1.7m in depth, as shown with signs.

I/we confirm that I/we will leave the facility clean and tidy and how we found it (including mopping up), take all rubbish away and will only stay for the allotted time.

I/we confirm this is a recreational booking and is not for a party.

I/we understand that the Pool Operators and Owners may need to cancel and fully refund a booking without notice due to unforeseen circumstances (this is extremely rare)

I/we understand that a refund will only be offered if at least 72 hours’ notice is given. The admin and Stripe service fee of 10% (subject to a minimum of £5) will be deducted from your refund.

I/we confirm we will follow the Government’s current advice and guidance regarding Covid-19 for indoor leisure activity

I/we have declared all swimmers and will pay accordingly for their use of the pool

I/we confirm we give consent for you to hold our personal information for the purposes of contacting us only in relation to this booking

I/we confirm and understand cars are parked and left at our (the Hirers) own risk.

I/we confirm and understand all damages and breakages must be reported immediately to the Pool Owners/Pool Operators.

PLEASE NOTE THAT ADDITIONAL AGREEMENT TERMS APPLY IN ADDITION TO THE ABOVE FOR PARTY BOOKINGS AND STAY&PLAY SESSIONS. IF YOU REQUIRE DETAILS OF THESE PLEASE GET IN TOUCH AND THESE WILL BE EMAILED.

EVERYONE MUST SHOWER BEFORE ENTERING THE POOL INCLUDING CHILDREN.

Please also ensure all children go to the toilet before entering the Pool – we know how tempting it is for them to just jump straight into the Pool, but toilet and shower first please!

The Shower is a RINSING SHOWER ONLY and NO SOAP/SHOWER GEL/SHAMPOO MUST BE USED. This is vital to avoid contamination of the Pool.

BABIES AND TODDLERS (EVEN IF POTTY TRAINED) MUST ALWAYS WEAR NEOPRENE SWIMMING SHORTS WITH A SPECIAL (HUGGIES) SWIMMING NAPPY UNDERNEATH in the pool. Please allow plenty of time if you need to purchase these in advance of coming to the Pool. If there is any uncertainty over this, please get in touch in advance of your Booking.

Please ensure any RUBBISH/NAPPIES ARE TAKEN HOME with you – no rubbish is to be left in the Pool House or and must not be put in the bin in the toilet (this is for sanitary waste only).

Please ensure only toilet paper is flushed down the toilet. NO SANITARY WASTE MUST BE PUT DOWN THE TOILET and should be put in the bin provided.

NO FOOD OR DRINK IS TO BE CONSUMED IN THE POOL HOUSE  (this includes baby snacks) and no food should be consumed one hour before entering the Pool.

If you have had diarrhoea you must not come to the pool for 14 days after

If the Pool is CONTAMINATED (FAECAL, VOMIT OR BLOOD), THE POOL SHOULD BE EXITED IMMEDIATELY, and the Pool Operators made aware so the Pool can be disinfected and closed for the day. See contact details below for contacting Pool Operators.

NO TALCUM POWDER TO BE USED

NO OUTDOOR FOOTWEAR to be worn in the Pool House.

NO SMOKING on the Property or in the Pool House.

NO URINATING in the pool – please make sure all children are aware of this and go to the toilet at the start of the swimming session.

Hair tied up and remove all jewellery

ARRIVE AT THE POOL ON TIME (NOT EARLY). As soon as it is your time to enter pool, please just head in to the Pool House. Please do not enter early in case someone is still using the Pool or if cleaning is underway.

Please complete the Sign-in Book which is located in the entrance.

Please familiarise yourself with directions before leaving to ensure there are no unnecessary delays. Unfortunately, if you are late, we cannot adjust your session booking and cannot offer refunds on this basis.

Keep all doors and windows in the Pool House closed – to ensure no dogs or babies/toddlers can access the Pool from the outside.

On entering the Pool House, ensure that you have full phone battery charge and phone reception/signal in case of any emergencies.

Once entering the Pool House Entrance, you are immediately on Pool side, so ensure that Children are supervised throughout your time in the Pool House.

SWIMMERS MUST TAKE A TOWEL TO THE POOL SIDE AND TOWEL DRY OFF BEFORE GOING UP THE STEPS TO THE DRY SIDE AND TOILET. WE POLITELY ASK THAT THE DRYSIDE IS KEPT DRY BECAUSE THE CHLORINE FROM THE POOL DESTROYS THE DRYSIDE FLOORING.

EVERYONE MUST USE THE POOL SIDE SHOWER BEFORE ENTERING THE POOL to help keep the Pool clean.

THERE MUST BE NO DIVING AND BOMBING

The use of inflatable toys is prohibited.

When wet, the floor surfaces may be slippery. Therefore, there is to be no running in the Pool House.

Pool toys available for use are in plastics buckets on the Pool Side. PLEASE ENSURE THAT THE TOYS ARE LEFT TIDY AFTER USE

At the end of the session please ensure that you LEAVE ON TIME. It is recommended that you SET A TIMER OR ALARM on your phone to ensure that you can vacate the Pool House on time.

Please sign the Sign Out Book when you leave.

Make sure all your belongings are taken home at the end of the session.

Please leave the facility how you found it, squeegees are poolside and mops are in the changing areas. Please ensure the toilet is left clean and dry and the area ready for the next swimming group.

The pool is well run and maintained by the Hopkins Family and is cleaned daily. We also use outside specialists to ensure the pool plant and equipment is in top notch working order. 

Bookings are limited to ensure our pool water quality is excellent and we work hard to maintain it that way. Pool Water Samples are taken and tested 3 times a day and a pool water sample is taken monthly and sent to a specialist laboratory for microbiology testing.

When coming to the Pool, please ensure you have mobile signal, the Pool Operators contact details to hand and full battery life in case your phone is required in an emergency.
